Many business owners don't seem to realize the power of customized email addresses. Not only does it give your business a more professional and successful appearance, it ensures that the email addresses you use today will still be yours to use in the years ahead.
For example, let's suppose ace widgits has a domain name of www.acewidgits.ca. Let's also suppose that their Internet Access Provider is Sympatico and they have been given an email address of acewidgits@sympatico.ca. Many business owners make the mistake of printing this on all of their stationery and establishing this email address as their signature address. There are two weaknesses here, the first being that the company is using their sympatico address in stationery, it would give a much stronger impression of the business if they used their own domain. For example, info@acewidgits.ca or a sales representative's own name, let's say, bradsmith@acewidgits.ca. This is known as a custom email address.
As mentioned, there are two advantages to using custom email addresses. First of all, let's suppose Ace Widgits were to expand and decide to move to another city, perhaps in a location best served by another provider, not Sympatico. Any email addresses that had been set up to end with sympatico.ca would now be dead, any stationery, emailing lists, etc. would now be useless.
The second reason for custom email addresses is the strong appearance it will give to your business. Many businesses today provide a number of contact email addresses, for example sales@acewidgits.ca, accounts@acewidgits.ca, info@acewidgits.ca or help@acewidgits.ca, not to mention people's names being uses as prefixes.
Email BOX vs Email FORWARD
Suppose you have your custom email addresses chosen, now you have another decision to make, you could have them each set up as an actual email box, complete with storage, log-in and password. The mail box can also be set up with an AUTORESPONDER, which means that a short, automated message will be sent as a reply to any incoming mail, for example, "Thank you for your inquiry, we'll contact you soon"
A MAIL FORWARD allows you to re-direct all incoming mail to an existing email account. In our example, info@acewidgits.ca could be forwarded to acewidgits@sympatico.ca and in the event that the access provider were to be changed, it would only be a matter of changing the forwarding information, the info@acewidgits.ca would continue to function by forwarding the messages to or from the email account supplied by the new provider.
